BUSINESS
REQUIREMENT
To design and develop a fuel and vehicle management platform that delivers secure multi-role access, vehicle and driver management, fuel tracking, and real-time analytics. The goal was to streamline fleet operations, improve fuel efficiency, and offer intuitive workflows across web and mobile platforms.
The Gaps we identified:
- Lack of secure, role-based permissions created data vulnerabilities and accountability gaps.
- Manual tracking made it impossible to monitor mileage, manage breakdowns, or predict maintenance.
- Fuel station operations with digital consumption tracking and requisition approvals
- No central system for driver assignments led to inconsistent attendance and low productivity.
- A lack of real-time reporting left leadership unable to make fast, data-backed decisions.
- Missing automated alerts and secure OTPs resulted in missed updates and security lapses.
- Web dashboard and mobile app for cross-platform accessibility
- Complex interfaces threatened to alienate non-technical field staff, risking low system usage.
SOLUTION
We set out to build a robust, scalable, and user-friendly fuel and vehicle management platform to streamline fleet operations and deliver actionable insights. By centering on Digital Customer Experience (DCX), we delivered tailored tools that match the environment and technical comfort of every user, from corporate Admins to field Drivers.
The solution included:
1. Unified DCX Framework – Delivered responsive web and mobile apps with intuitive UI/UX for role-based workflows.
2. Multi-role authentication – Implemented secure, JWT-based authentication supporting Admin, Supervisor, Fuel Station Manager, and Driver roles.
3. Vehicle & driver modules – Enabled vehicle registration, mileage tracking, breakdown management, driver assignments, attendance tracking, and performance metrics.
4. Fuel station module – Built digital fuel consumption tracking, requisition approvals, and analytics dashboards for station-level operations.
5. Analytics & reporting – Integrated live dashboards, custom report generation, and export capabilities for performance tracking.
6. Notification system – Delivered email and SMS alerts (OTP-based) with usability features like sound nudges and quick-access shortcuts for non-tech-savvy users.
7. Agile execution – Followed an iterative development model with QA testing, CI/CD pipelines, and client-assisted UAT to ensure timely delivery and quality assurance.
The outcome is a modern, scalable platform designed to enhance operational efficiency and support future product expansion.

OUR APPROACH
To build a secure and scalable fleet management platform, we adopted an agile, sprint-based model focused on incremental rollouts, close QA collaboration, and regular integration checkpoints to ensure quality.
Web and mobile applications were built using React Native, NextJS, and NestJS, integrating backend APIs, notification services, and advanced analytics. This structured process delivered a seamless user experience, optimized performance, and reliable scope delivery.
Strategic Planning & Engagement Model
Engagement Duration: Executed over a focused 6-week timeline with a clearly defined feature roadmap.
Development Strategy: Adopted an agile-inspired, sprint-based approach to ensure flexibility, scalability, and seamless integration of critical features.
Rollout Model: Followed iterative feature rollouts with integration checkpoints to validate progress and ensure smooth delivery.

Microservices Architecture & System Decomposition
Service Separation: The platform was structured into modules for authentication, vehicle and driver management, fuel tracking, and analytics to ensure scalability and ease of future enhancements.
Resilient Communication: Integrated robust notification handling with email and SMS (2factor.in) to deliver reliable alerts and updates for all user roles.
Session Control: Implemented secure authentication, role-based access control, and error handling to maintain uninterrupted operations and a smooth user experience.

Real-Time Interaction Enablement
UI & Data Sync: Ensured seamless synchronization between vehicle tracking, fuel updates, and analytics dashboards for real-time operational visibility.
Live Notifications: Integrated SMS and email alerts to provide instant updates on vehicle performance, fuel requisitions, and critical fleet events.
Context-Aware Adjustments: Added user-friendly interaction elements such as sound nudges and quick-access shortcuts to improve usability for non-tech-savvy users.

Payment & Wallet Capabilities Integration
Payment Gateway: Integrated 2factor.in for SMS and SendGrid for emails, providing OTP-based authentication and real-time alerts for critical fleet and fuel events.
Hybrid Notifications: Switched from Twilio to 2factor.in, reducing SMS costs by ~80% while maintaining reliable delivery.
Wallet & KYC Flows: Added sound nudges and home screen shortcuts, improving accessibility for non-tech-savvy users and ensuring faster response to alerts.

Monitoring, Reporting & System Robustness
Notification Reliability: Integrated 2factor.in and SendGrid for consistent SMS and email notifications, ensuring critical alerts reach all stakeholders promptly.
System Monitoring: Used Grafana dashboards and performance logs to track application health, detect anomalies, and maintain uptime.
User Security & Usability: Implemented robust session handling, role-based access control, and usability features (like sound nudges) to ensure a secure and smooth user experience.
