ShiftPilot
Building a Reliable Workforce Management Platform for Shift Planning, Payroll, and Compliance
About the Client
ShiftPilot is a workforce management platform in Europe built for businesses that employ flexible teams, including flexi-job workers, students, and temporary staff. The platform brings shift planning, employment declarations, contracts, and payroll operations into one connected experience, helping employers manage changing workforces while meeting Belgian employment requirements.

About the project
OVERVIEW
We worked with ShiftPilot to redesign and strengthen an existing Flutter and Firebase workforce platform across iOS and Android. The engagement focused on simplifying everyday workforce journeys while making critical operations such as recurring scheduling, payroll processing, worker validation, notifications, and automated DIMONA declarations more reliable.

Shared Flutter CodebaseBusiness Requirement
ShiftPilot needed to modernize an existing workforce application without disrupting functionality already used by employers and workers. The workforce management platform had to manage changing schedules, different employment categories, payroll calculations, and Belgian labor requirements while remaining dependable during critical filing and payroll periods.
Key Requirements
Businesses needed to create recurring schedules, assign workers, and confirm completed shifts.
Employment rules had to support flexi-job workers, students, and temporary staff.
Government DIMONA declarations needed reliable filing, retry, recovery, and status tracking.
The application needed to remain dependable on weak venue networks and correctly handle time zones and daylight-saving changes.
Notifications, authentication, payroll, payments, and invoicing needed to work as part of the same workforce journey.
Ready to Build or Modernize Your Workforce Platform?
Solution
GeekyAnts redesigned the core mobile journeys and extended the existing Flutter and Firebase architecture rather than introducing an additional backend stack. The workforce management platform combines recurring shift management, worker assignment, labor validation, payroll calculations, notifications, and phone-based authentication with a stateful DIMONA pipeline built for reliable government filing.
Cloud Tasks and Firestore state management support durable retries and recovery, while idempotency controls help prevent duplicate declarations. We also introduced stronger observability, pull-request standards, CI gates, staging validation, and release controls around high-risk workforce operations.

Challenges we Solved
ShiftPilot combined everyday mobile usability with processes where incorrect or duplicated actions could affect payroll and statutory reporting. We addressed declaration reliability through idempotent state management, structured quarter-based filing logic around Belgian employment rules, and introduced durable task execution to prevent retry storms. Mobile flows were also strengthened for unreliable venue connectivity, notification delivery, platform limitations around long shifts, and time-zone-sensitive scheduling.

Our Approach
We worked within the existing product architecture and combined experience redesign with focused engineering improvements across scheduling, compliance, payroll, notifications, and release reliability. High-risk workflows were reviewed before implementation, while every change moved through pull-request review, CI validation, and staging before release.
- We mapped the existing application, business rules, workforce categories, compliance dependencies, and high-risk journeys before making architectural changes. This helped the team distinguish experience improvements from workflows where reliability and regulatory correctness were critical.

Results
ShiftPilot now operates on a strengthened mobile workforce foundation that connects scheduling, worker management, payroll, notifications, and Belgian employment declarations within one platform. The shared Flutter architecture supports both iOS and Android, while stateful compliance workflows and stronger delivery controls improve the platformโs ability to manage operationally sensitive workforce processes.
The workforce platform supports three worker categories and, based on company-reported public figures, is used by more than 1,000 self-employed professionals and staff while handling more than 3,000 shifts each month. These scale figures describe the broader product and should not be presented as growth attributable specifically to the GeekyAnts engagement.
